Many Xero subscriptions are managed by accounting partners or bookkeepers rather than the business owner directly. If your accountant set up your account, you won't see billing options in your Xero dashboard.

Step-by-Step: Cancel Xero

These steps work if you manage your own Xero subscription directly. If your accountant manages your account, you'll need to contact them instead.

01

Log in to your Xero account

Go to xero.com and sign in with your username and password. Make sure you're logging in as the organization owner or billing contact.

02

Go to Account Settings

Click your organization name in the top right corner, then select Settings. From the left menu, choose Subscription.

03

Find your subscription details

Review your current plan and billing information. Look for a Cancel subscription or Downgrade option near your plan details.

04

Confirm cancellation

Click Cancel subscription and follow the prompts. Xero may ask for feedback about why you're cancelling before confirming the cancellation.

05

Verify cancellation confirmation

You should receive an email confirmation of your cancellation. Your access continues until the end of your current billing period.

Xero-specific things to know

Xero subscriptions can work differently depending on who set up your account. These tips cover common edge cases.

Check who manages your billing
If you don't see billing options in your account, your subscription is likely managed by an accounting partner or bookkeeper.
Data export before cancelling
Export your financial reports and data before cancelling. Access to historical data may be limited after subscription ends.
Third-party app subscriptions separate
Add-on apps like payroll or inventory management have separate billing and need to be cancelled individually.

Before cancelling Xero

These details can affect your cancellation timing or whether it goes through properly.

1. Verify who controls billing

Check if your accountant or accounting firm manages your Xero subscription. You may need to contact them to cancel rather than doing it yourself.

2. Access continues until period ends

You can use Xero until your current billing period expires, even after cancelling. Make sure to export any data you need.

3. Annual subscriptions and refunds

Annual Xero plans typically don't offer prorated refunds. Check your billing date to time your cancellation appropriately.

Consider these alternatives

If cost is your main concern, you might be able to downgrade your plan instead of cancelling completely.

Downgrade your Xero plan

Xero offers multiple pricing tiers with different feature sets. You might be able to switch to a cheaper plan that still meets your needs.

  • Starter - Basic invoicing and reports

  • Standard - Includes bill management and multi-currency

  • Premium - Full feature set with project tracking
